Introduction to SWA Online Entry System

Emails have been sent out to all members advising of their usernames and password.  If you have not received an email with these details, please advise the Registrar via email.

Please be aware that this form of entry begins with the SWA Club Sprint Champs.  The meets page will be updated in time to reflect which events will be using this SWA online entry procedure.  It will also display the closing date as shown in the Almanac.

Swimming WA has been working on an ‘On-Line’ entry system that will be introduced for the 2010/2011 Long Course Season. The ‘On-Line’ entry system uses times that have been uploaded into the National Australia Results database, so essentially once this system is up and running, swimmers will only be able to use official times that have been achieved at Interstate and State endorsed swim meets.

From time to time there is the occasional swim meet that does not require swimmers to meet a particular qualifying time. In this instance, swimmers can enter without the restriction of having an official swim time. An Official Time is one that has been achieved at either:

a) National Level

b) State Level

c) SWA Sanctioned Club Meet (as published in the Almanac)

d) Club Night/ Time Trial where ELECTRONIC TIMING has been used along with required SWA Officials present on pool deck i.e. SWA Official Referee and SWA Official Starter. Official application of ‘Recognition of Times’ submitted to SWA

BENEFITS OF THE ON-LINE ENTRY SYSTEM
· Swimmers can enter ‘on-line’ at their convenience and easy to use

· Swimmers receive a receipt of payment of entries which, in turn, confirms their entries

· Swimmers PB’s are automatically updated and therefore records their latest PB right up to the date of closure of entries

· Swimmers can update their own personal details at the time when entering a swim meet

· Swimmers can download from the SWA website a request to use an official ‘Split’ time or ‘Relay Leadoff’ time

· Club Registrars greatly benefit from reduced workload and stress levels of compiling and submitting an electronic entry file

· Clubs can view who has entered the swim meet, for submitting relays, by logging into the ‘on-Line Entry’ using the Club’s Username and Password and click on ‘Confirmed Entrants’. Relay entries are also submitted On Line.

· No money handling at Club or SWA level

· Entries do not incur an extra 6% surcharge when paying by credit and/or debit card (SWA absorbs this Fee)

· ***PLEASE NOTE: REGIONAL CLUBS will be given the option of either On-Line Entry or TM Electronic Entry File to SWA due to the limited opportunities for their swimmers to attend a swim meet being run with Electronic Timing

ACCESSING THE ONLINE ENTRY SYSTEM

* In order for swimmers to be able to enter online, a sign-on and password is needed. An initial sign-on and password is generated by the online system and will be emailed to your registered email address by the end of the week.

* Please access the online system via the “Member’s Portal” on the Swimming WA website. This portal is also available on the Arena Swim Club website.

* Update all personal details when logging on for the first time. You can also change your sign-on and password to something more meaningful

* If the sign-on and password received in the email does not allow you access to the system, please email the Registrar. A new sign on and password will be set-up and forwarded to you
